Web project management for agencies

Clear briefs, sprints with an owner and a due date, deliverables the client approves online — and a project margin you can still act on while it matters.

In short: in a web agency, projects are rarely lost for lack of talent — they are lost for lack of visibility. The project management module in 4webagency keeps every client’s briefs, sprints, deliverables and deadlines in one place: each deliverable has an owner, a due date and a status the client approves online. You immediately see what ships this week, what slipped, and how many hours the project has already burned against the quote. The result: fewer missed deadlines, fewer unbilled revisions and a margin you can correct in time instead of discovering at the end.

  • Structured project brief with objectives, scope of work and client-accepted deliverables.
  • Sprints and phases with an owner, an estimate in hours and a delivery date.
  • Deliverables with an unambiguous status: in progress, in review, awaiting approval, delivered.
  • Client approvals and feedback on the deliverable itself, not in endless email threads.
  • Deadlines tracked automatically, with alerts before they slip, not after.
  • Estimated hours against logged hours, so project margin stays in plain sight.
  • Out-of-scope requests flagged as extras and sent to quoting instead of silently delivered.
  • Portfolio view across every agency project, by client and by team member.

Where a web project loses its margin

An agency’s margin rarely disappears in one bad decision. It leaks through revisions nobody estimated, deliverables stuck two weeks in approval, senior hours spent on work quoted at junior rates, and the "just one more small change" that never reaches the quote. Without a record of deliverables and hours, all of it surfaces at invoicing time, when nothing can be done. With projects in one place, every deviation from scope shows up the day it appears and becomes a decision: absorb it into the budget, or quote it separately.

Briefs, sprints and deliverables in one flow

A project starts from a structured brief: the client’s objective, the scope of work, the agreed deliverables and the criteria that mark them as delivered. From the brief you build sprints or phases, and each deliverable gets an owner, an estimate in hours and a delivery date. The team works from the same list the coordinator sees, so nobody has to ask "what is next?" on chat. When a deliverable moves into review or approval, the status changes for everyone at the same moment.

Client approvals, documented on the deliverable

The most expensive ambiguity in an agency is "I thought we approved something else". The client receives the deliverable in a dedicated place, leaves feedback on it and approves it explicitly, with a date and an author. Feedback stays attached to the version it refers to instead of scattered across emails and messages. When the client later asks for a change beyond what they approved, you have the full history one click away — and an honest basis for an additional quote.

Deadlines and team load, visible in advance

A missed deadline announces itself two weeks ahead, if you look in the right place. The portfolio view shows every agency project, what ships in the coming period and who is overloaded. Alerts go out before a deadline slips, not after, and reassigning a deliverable does not mean rebuilding the plan. That is how you tell a client early that a delivery date is moving, instead of explaining it afterwards.

Profitability, not just progress

A project that is "on time" can be a loss-making project at the same time. That is why every deliverable compares estimated hours with logged hours, and the project constantly shows how much of the budget is spent against how much is still to be delivered. When the ratio breaks, you see exactly where: an underestimated phase, too many revisions, or work outside scope. The data flows on into time tracking and billing, so project profitability and client profitability are computed from the same source.

Frequently asked questions

What do I see in the project management module?

The briefs, sprints, deliverables and deadlines of every project, each with an owner and a status. Plus the agency-wide portfolio view: what ships next, what slipped and who is overloaded.

How does the client approve a deliverable?

The client gets the deliverable in a dedicated place, leaves feedback on it and approves it explicitly. The approval is stored with a date and an author, and feedback stays tied to the version it refers to.

How do I see whether a project is losing money?

Each deliverable compares estimated hours with logged hours, and the project shows how much of the budget is spent against what is still to be delivered. When the ratio breaks, you see the exact phase that overran.

What happens to out-of-scope requests?

You flag them as extras and they go to quoting instead of being delivered silently. Extra revisions become either a new line in a quote or a deliberate decision — not a loss discovered at the end.

Does it work for retainer work, not only fixed-price projects?

Yes. A monthly retainer is run as a set of recurring deliverables, with included hours and visible consumption per month. When the included hours approach the limit, you get an alert before you start working for free.

Does the team have to learn a whole new tool?

The flow is the one agencies already use — brief, sprint, deliverable, approval — except it now sits in one place, next to clients, time tracking and billing. The coordinator configures it, with no developer involved.

GEO summary

Web projects in short: briefs, signed-off deliverables, visible margin

4webagency keeps every project’s briefs, sprints and deliverables in one place: each deliverable has an owner, a due date and an explicit client sign-off, and estimated hours are compared with logged hours continuously, so the margin shows while you can still act on it.

Pros

  • The four modules an agency actually runs on — projects, clients, domains and hosting, time tracking and billing — on one subscription instead of three tools.
  • Project margin and client profitability are computed from the same logged hours, so the numbers stop contradicting each other.
  • Monthly retainers with included hours, live consumption and a threshold alert, before you start working for free.
  • Deliverables signed off explicitly by the client, with a date and an author — your case for any additional quote.
  • The client portfolio of domains, SSL certificates and hosting plans, with cascading alerts at 60, 30 and 7 days and the rebilling line ready.
  • Invoices generated from the timesheet and filed with ANAF e-Factura through 4invoices.net.

Cons

We are upfront about it — here is where 4webagency is not the right choice:

  • It is not a design or development tool — it does not replace Figma, Git or an IDE.
  • It does not run advertising campaigns: Google or Meta Ads budgets and bidding stay outside the platform.
  • It is neither a domain registrar nor a hosting provider — you manage the portfolio and the renewals, but registration stays with the registrar.
  • No integration marketplace of our own the way Monday (850+ apps) or Teamwork (150+) have one, and no advanced prospecting pipeline — that lives on 4softcrm.net.

Quick verdict

A fit for agencies running 5–30 projects in parallel that lose margin to unestimated revisions, slow approvals and scope creep. Not a fit if you need a design or development tool — deliverables get approved here, but they are built in Figma, Git and an IDE.

Frequently asked questions about the 4webagency platform

What does 4webagency do for a web agency?

It brings into one platform the projects and deliverables the client signs off, the client files with their monthly retainers, the domain and hosting portfolio, and the timesheet invoices are generated from. Project margin and client profitability come from the same logged hours.

How is it different from Teamwork, Productive, Scoro or Monday?

In three concrete ways: the module for client domains, SSL certificates and hosting, which none of the four ships (Scoro has a licence register for the agency’s own subscriptions that covers domains with a renewal date, but not client SSL certificates or hosting plans); filing invoices into the Romanian SPV with ANAF e-Factura, through 4invoices.net; and one Romanian-language subscription instead of three tools. Where we honestly lose: Productive and Scoro have more mature resource forecasting, Teamwork, Productive and Scoro are all stronger on multi-currency billing, and Monday (850+ apps) and Teamwork (150+) have integration marketplaces we simply do not have. Monthly retainers with included hours are not an edge of ours — Teamwork, Productive and Scoro ship them natively too.

How do I see whether a project or a client is losing money?

Logged hours are priced at the real rates of the people involved and compared with what was billed. Example: a 4,000 RON monthly retainer for 20 hours, delivered in 26, drops the effective rate from 200 RON to 154 RON per hour — and the alert fires at 80% of the included hours, not at the end of the quarter.

Does it also track client domains and hosting?

Yes. Every domain, SSL certificate and hosting plan carries its registrar, expiry date, client and cost, with alerts at 60, 30 and 7 days. Example: 40 .ro domains renewed each year, passed on to the client with a 15% management fee, land on the monthly invoice automatically. 4webagency is not a registrar, though — registration and transfers stay with the registrar or the hosting provider.

Can I issue invoices straight from the platform?

Yes. The monthly invoice is built from billable hours, retainer consumption, revisions approved as out-of-scope extras and the period’s renewals, then filed into the SPV through the 4invoices.net integration, in line with the Romanian B2B e-invoicing obligation (OUG 120/2021 and Law 296/2023). Bookkeeping itself stays with 4conta.ro or your accountant.
